How to Export an Apple Numbers File to Microsoft Excel

Apple’s Numbers is excellent when you need to compile a basic spreadsheet or table and make it ready for a presentation. However, Excel’s sheer range of options (and the fact that it’s available on both macOS and Windows) often means that collaborative projects will default to using Excel as the platform of choice.

If your colleague only has Excel installed on their device, you’ll need to export Apple Numbers to Excel files before they could be sent and opened. Luckily, there are several quick methods you (or the Excel user) can use.

Method 1. Export Apple Numbers to Excel Inside Numbers Itself

Contrary to popular belief, you don’t really need a third-party tool to convert a Numbers file when working on a Mac. You can do everything in the native Numbers app.

Step 1. Open the file you need to convert in the Numbers app.

Step 2. Go to the app’s taskbar at the top and select “File.”

Step 3. Scroll down and hover over “Export To,” then move to the right and select “Excel” from the list.

Step 4. In the “Export” pop-up, you can select if you want to separate the sheet per table and use a password to open the file in the future.

Step 5. Click “Next” when you set up the export options.

Step 6. In the “Save As” pop-up, enter the name of the file and any tags you want to apply, and click “Save.”

Step 7. Choose the folder where you want to export the file to and click “Export” to confirm.

Method 2. Export Apple Numbers to Excel via iCloud

If you want a fully platform-independent system to export between various file extensions, you can use the official iCloud website.

Step 1. Go to iCloud in your browser.

Step 2. Log in with your Apple ID and password if prompted.

Step 3. Go to the app list on your account and select “Numbers.”

Step 4. Choose “Browse” from the left-hand menu bar, then find the file you want to export.

Step 5. With the file open, select “More” (the three dots icon) and choose “Download a Copy.”

Step 6. Select the Excel file format (.xlsx) and confirm the download. The file will be saved in your default download location.

Method 3. Export Apple Numbers to Excel on Mobile (iOS)

If you’re working on an iOS device, you can use the Numbers app, similarly to the PC version.

Step 1. Open the file on your mobile device. It should automatically be done through the Numbers app if you double-tap on it.

Step 2. Tap on the “Share” button in the toolbar.

Step 3. Select “Export and Send” from the list.

Step 4. Choose “Excel” from the list of formats.

Step 5. You can save the file to iCloud storage by selecting “Save to Files” or immediately export the file in a message by selecting an app from the list of options.

Step 6. Confirm the file’s name, format, and final location if needed.

Method 4. Export Apple Numbers to Excel Online

If you’ve been sent a Numbers file but don’t have an Apple device or iCloud drive to open it, you can use a third-party converter such as CloudConvert.

Step 1. Go to the converter’s website (make sure to recheck whether the converter stores the file on their servers, as that’s usually a sign it’s malicious).

Step 2. Choose the “Convert Numbers to Excel” from the list of available conversion options (if applicable).

Step 3. Click on the “Select File” or “Upload File” or a similar button on the page.

Step 4. Find your file in the browser window and select “Open.” Some websites might allow you to drag the file from the window into a box on the page as well.

Step 5. Click “Select Format” and choose the format you want (usually .xlsx).

Step 6. Choose “Start Conversion.”

Step 7. You will be redirected to a download page. If the website doesn’t start the download process automatically, click the “Download” button. The file will be in your default download location.
