How to Link Outlook Calendar with iPhone: Step-by-Step Guide

Getting your Outlook appointments and reminders onto your iPhone is simple when you follow these steps. Make sure you know your Outlook account login details before you get started.

Step 1. Find Accounts on Your iPhone

On your iPhone, head to Settings. Click “Mail,” and then click “Accounts.”

Step 2. Add Your Outlook Account

Once you click “Accounts,” you’ll see the option to “Add account.” When you click this, you’ll get several options. Choose “Outlook.com” and follow the onscreen prompts to enter your username and password.

Top tip: Your username is usually your Outlook email address.

Step 3. Check the Account Settings

Once your Outlook account has been added, you’ll see a list of settings, as above. Make sure the toggle button next to Calendar is switched on. It should change to the color green when you do this. By pressing this button, you’re telling your Outlook account that you’re happy to have calendar information on your iPhone.

…after a few minutes, you’ll see it on your iPhone Calendar.

You can follow these steps to sync just about any online calendar to your iPhone. Simply choose the right account type during Step 2 in our guide. For example, if you wanted to add your Google calendar instead, you would just choose Google and follow the onscreen prompts.

To avoid calendar invites getting confusing, your iPhone will automatically assign each calendar a different color. When you add an event or appointment on your iPhone, you’ll see an option that says “Calendar” with two arrows. If you click here, you can choose where the appointment will sync to. Choose Outlook and, within a few minutes, that appointment will appear in your Outlook calendar.

Remember, synchronizing calendars only works when both devices are connected to the internet. If you go offline, the sync will resume once you have connectivity again.

If you want to have all your Outlook information in one place, you can download an iOS Outlook app. Head to the App Store and search for “Outlook.” It’s free to download and you’ll just need your Outlook username and password to get it working. You can see all your mail and calendar invites/appointments in the app, but they won’t also show up in your iPhone calendar.

You can use both methods at once to see all your appointments in your iPhone calendar and enjoy having your mail and calendar in one place. The main benefit of having your iPhone calendar synced with your Outlook calendar directly is that you can see previously downloaded appointments when you’re offline. The Outlook app won’t work at all if you’re offline or out of range of a cellular signal or Wi-Fi.

If you find that your calendar invites stop syncing, simply remove the account from your iPhone and re-add it. Follow the steps above to find “Accounts,” click your Outlook account, then click “Delete Account.” From here, just follow the initial steps to refresh your calendar sync.
